Job Summary

The Accounts Receivable Clerk will oversee the processing and management of payments and receivables, ensuring all guest charges, deposits, and payments are accurately recorded. This position also involves generating invoices, reconciling accounts, and assisting with financial reporting to maintain the hotel's cash flow and financial accuracy.

Job Duties

  • Handle guest payments for services rendered during their stay, including check-ins, check-outs, and any additional charges such as room service, amenities or incidentals.
  • Create and manage invoices for guests, ensuring that charges are accurate and payments are processed in a timely manner.
  • Track outstanding  balances, follow up on unpaid invoices, and prepare account statements for guests and corporate clients.
  • Review accounts for discrepancies or errors, and ensure all transactions are accurately recorded and balanced within the hotel’s financial system.
  • Ensure the guest accounts are updated promptly with payments, credits, and debits as applicable.
  • Respond to guest inquiries regarding billing issues, payments discrepancies, and provide assistance with resolving any account-related concerns.
  • Manage credit approval processes, ensuring appropriate credit terms are established, and work to resolve delinquent accounts.
  • Assist in preparing financial reports, including aged accounts receivable reports, revenue reports, and other financial summaries as requested by management.
  • Coordinate with front desk, housekeeping, and sales departments to verify charges and ensure the smooth flow of financial information.
  • Ensure all financial documents and guest information are securely maintained, following confidentiality and hotel polices.
  • Perform any other responsibilities that may arise.

Education and Experience

  • Strong math skills
  • Detailed oriented in handling financial transactions and reconciling accounts
  • Ability to maintain accurate records
  • Good communication and organizational skills
  • Strong computer skills

  • Excellent time management skills
  • Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, guests etc.
  • Passion for hospitality and customer service focused.

  • Can communicate well with guests, supervisors and coworkers.
  • Ability to comprehend and follow instructions from supervisor. 

Physical Requirements

  • Tasks are performed indoors, temperature can be very hot with or without control of environmental systems.
  • Requires manual dexterity. 
  • Must be flexible to work any day of the week, weekends, and holidays if assigned.
