Job Description

The Conference Services Manager is responsible for overseeing and managing all aspects of conference and event services at the hotel. This includes pre-planning, coordination, execution, and post-event follow-up. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Responsibilities:

  • Pre-Event Planning:
    • Collaborate with clients to understand their specific needs and requirements for conferences, meetings, and events.
    • Develop detailed event plans, including timelines, budgets, and resource allocation.
    • Coordinate with various departments (e.g., catering, housekeeping, engineering) to ensure seamless event execution.
    • Negotiate contracts with clients and vendors to optimize profitability.
  • Event Execution:
    • Oversee event setup, including room layouts, audiovisual equipment, and décor.
    • Manage event staff, including trainers, technicians, and servers.
    • Monitor event flow and address any issues or challenges that may arise.
    • Ensure adherence to safety and security protocols.
  • Post-Event Follow-up:
    • Evaluate event performance and identify areas for improvement.
    • Collect and analyze feedback from clients and attendees.
    • Prepare detailed event reports, including financial summaries.
    • Maintain strong relationships with clients to foster future business.
  • Team Management:
    • Recruit, hire, and train conference services staff.
    • Provide ongoing training and development opportunities.
    • Motivate and inspire the team to deliver exceptional service.
    • Conduct performance reviews and address performance issues.
  • Financial Management:
    • Monitor and control event budgets.
    • Track revenue and expenses.
    • Identify cost-saving opportunities.

Qualifications:

  • Bachelor's degree in hospitality management, business administration, or a related field.
  • Minimum of 5 years of experience in conference and event management.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in event planning software and tools.
  • Ability to work under pressure and meet deadlines.
  • Flexibility to work varying shifts, including weekends and holidays.
