Catering Coordinator
Compensation: $33.00/hr.
Job Description
The Catering Coordinator supports the day-to-day activities of the Catering Department and provides assistance to the Catering Sales team, including answering and directing incoming phone calls, coordinating event space; arranging internal and external meetings; responding to inquiries with space / date availability information; food and beverage minimums and menus; answering event planner questions; maintaining and following up on Banquet Event Order accuracy and distributions (daily, weekly); and, communicating this information throughout hotel.
- Answer all telephone inquiries in a pleasant, courteous and professional manner and ensure that all pertinent information is noted accurately and legibly and quickly communicated to Catering Sales Managers
- Handles organization and distribution of BEO’s, Daily Event Reports + Site Tour Alerts
- Assist and handle all administrative needs of Catering Sales Managers
- Assist in diagram creations of upcoming events
- Handles in-house meetings and space holds, BEO’s and distribution
- Prepare all written communications: memorandums, BEOs, contracts, sales letters, cover letters, thank you letters, mailings, collateral, etc.
- Perform all administrative duties in a tidy, organized manner and maintain offices in an orderly and guest-ready environment at all times
- Assist sales team as needed in client site inspections, client entertainment, wedding tastings, events, etc.
- Communicate all last-minute changes, additions and cancellations
- Ensure that all entries in Salesforce are accurate
- Prepare all necessary reports
- Process all purchase orders and special requests
- Attend all necessary meetings and take appropriate minutes if required
- Actively participate in team sales meetings as needed
- Make room reservations as needed and ensure the delivery of amenities.
- Order all audio-visual and tech requests as needed
- ‘Daily Events’ post to Beekeeper
Job Requirements:
- College degree with focus in hotel or business administration preferred
- Experience in a similar operational area for a minimum of two years
- The specific strategic and operational knowledge needed to perform the job
- Excellent written and verbal communication skills
- Ability to interact with fellow employees and clients of the hotel via phone, written communication, and in person
- Knowledge of hotel structure and how all departments interact
- Proficient in Microsoft Word, Excel, Power Point, Delphi and Sales Force
