Rooms Controller

Job Description

The Rooms Controller plays a critical role in ensuring an exceptional guest experience by strategically managing room inventory, assignments, and preferences to optimize both guest satisfaction and hotel revenue. Acting as the liaison between the Front Desk, Housekeeping, Reservations, and Sales departments, the Rooms Controller ensures accurate room allocations that balance operational efficiency with personalized guest service in a luxury hospitality environment.

  • Review daily arrivals to ensure room assignments meet guest preferences, special requests, and VIP status.
  • Assist Sales Department with creating reservations for room blocks, VIP reservations, OTA’s in addition to creating room lists and monitoring online reservation communications.
  • Coordinate with Food & Beverage department and Front Desk to enhance personalized experiences for repeat guests and high-value clients.
  • Anticipate and resolve potential conflicts related to room availability before guest arrival.
  • Accurately assign rooms in alignment with hotel strategy, balancing upgrades, upsells, and operational needs.
  • Partner with Revenue Management to monitor occupancy forecasts and maximize revenue opportunities.
  • Track and report on room type utilization, upgrade activity, and special assignment trends.
  • Serve as the central point of communication between Reservations, Housekeeping, Engineering, Sales and Front Office regarding room status.
  • Ensure rooms are clean, inspected, and ready for arrival based on assignment schedules.
  • Coordinate out-of-order and out-of-service rooms, minimizing revenue impact and guest inconvenience.
  • Proactively address overbooking situations, guest relocation needs, or last-minute changes with discretion and professionalism.
  • Support the Front Desk team in managing guest recovery situations, ensuring seamless solutions that protect the brand’s reputation and assist in high volume business when needed.

    Job Requirements:

  • Bachelor’s degree in hospitality management or related field preferred.
  • Minimum 2–3 years of front office, reservations, or rooms division experience, preferably in a luxury hotel environment.
  • Strong knowledge of property management systems (Opera, Fidelio, or similar).
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask and work under pressure in a fast-paced luxury environment.
  • Excellent communication and interpersonal skills; adept at building relationships across departments.
  • Analytical thinker with a guest-first mindset and strong problem-solving abilities.
