PAYROLL/HR COORDINATOR

We’re looking for a Payroll/HR Coordinator to join our polished and professional team—someone who brings infectious pride, acts with integrity, and takes ownership in everything they do.

Overview:

Assist and support the Accounting and Human Resources departments with the day to day operations of payroll and human resources tasks and responsibilities, which includes:  Greeting internal and external guests to the Accounting and HR departments, administer payroll and HRIS systems, recruitment and benefits programs, answering questions and troubleshooting problems.

Job Description

  • Assist team members whenever possible with requests and/or information and answer questions and/or address concerns in a timely manner.
  • Maintain ADP (Payroll & HR) and TimeSaver (Time & Attendance)
  • Process bi-weekly payroll for all hotels.
  • Maintain and verify PTO balances on a bi-weekly basis.
  • Process payroll benefits.
  • Perform quarterly insurance benefit audits.
  • Review all new hire paperwork, PAF, PTO Requests, and tips.
  • Review ADP TimeSaver and communicate to hotel & departments, missing punches, approaching overtime, missing PTO.
  • Perform general cashier duties.
  • Assist Accounting and Human Resources with spreadsheets as needed
  • Provide administrative support to the Director of Human Resources
  • Assist in the recruiting, screening and interviewing for all management and non-management hotel positions.
  • Assist the Human Resources Director in directing and instructing the management staff in effective recruiting and interviewing techniques using methods such as verbal presentations and written directions to ensure the hiring and retention of qualified and effective associates. Schedule interviews and process related paperwork.
  • Create and update Human Resources bulletin boards and other posting locations as needed.
  • Distribute paychecks
  • Maintain accurate and updated department and team member files.
  • Explain elements of various benefits to team members as required and assist with enrollment and claims processing.
  • Assist with employee relations events and recognition e.g. Team Member of the Month program, Anniversary Awards program, etc.
  • Process benefits enrollments and other functions electronically, as required.
  • Monitor and update job requisitions as required. Communicate hotel job openings internally and externally, via bulletin board postings, telephone, letters, referral contacts, etc. pursuant to Company policy.
  • Coordinate all other pre-selection activities, including background checks; reference checks, etc., to ensure compliance with all Company policies and procedures.
  • Process all transfer requests in the required time frame.
  • Respond to all interviewed applicants via telephone, email or letter within required time frame.
  • Assist Director of Human Resources in achieving goals and objectives as identified in hotel annual Affirmative Action Plan (AAP).
  • Control the administration of wages and benefits to ensure the accurate and equitable application of same, analyzing and applying information retrieved from moderately complex reports, manuals and/or computer systems.
  • Prepare correspondence and memos as needed.
  • Ensure all new hires and existing employees possess proper employment eligibility verifications.
  • Maintain and update workers comp spreadsheet for annual audit.
  • Comply with attendance rules and be available to work on a regular basis.
  • Perform any other job-related duties as assigned.

Experience, Skills and Knowledge 

  • Must be able to perform in a highly confidential environment.
  • Must have strong computer skills.
  • Must have strong working knowledge of Microsoft Office programs.
  • Must be professional in appearance and demeanor.
  • High School Diploma or equivalent required, college degree preferred.
  • Knowledge of hotel operations and experience in similar role preferred
  • Leadership skills to motivate and develop staff and to ensure accomplishment of goals.
  • Able to set priorities, plan, organize, and delegate.
  • Excellent verbal and written communication skills
  • Detail-oriented, concise, and organizational skills are critical.
  • Ability to work effectively under time constraints and deadlines.
  • Ability to work with minimal supervision.

Command of the English language both written and verbal; bilingual a plus

Compensation/Job Classification

  • $23.00 – 27.00 per hour
  • Full-Time Position
  • Hourly
